1. Introduction
This Privacy Policy ("Policy") explains how TakeVox ("we") collects, uses, stores, and protects information generated while you use the TakeVox desktop application and services (the "Service"). We follow the principles of minimal collection and local-first processing, handling data only to the extent necessary to provide the Service.
2. Information We Collect
1. Local data: dictation history, clipboard history, your user vocabulary, per-app rules, and meeting records (audio and transcripts) are stored on your device by default.
2. Settings information: your preferences in the App (such as language, hotkeys, interface theme, and model configuration).
3. Subscription information: when you use the subscription service, we verify your entitlement status (such as the Pro expiry date) using your subscription key.
4. Cloud transcription data: when you enable cloud transcription, meeting audio is uploaded to third-party cloud services (see Section 4).
5. Crash reports and logs: when the App crashes or you voluntarily upload logs, we receive the crash reason, stack trace, and app version. We deliberately exclude sensitive data such as clipboard content, transcript text, API keys, subscription keys, and audio.
3. How We Use Information
We use the information we collect to: provide, maintain, and improve the Service; process subscriptions and entitlements; diagnose and fix issues; and comply with applicable law and regulatory requirements. We do not sell your data to third parties and do not use it for targeted advertising.
4. Local vs. Cloud Processing
1. Local mode (default): dictation, polishing, and translation run entirely on your device; your voice and text never leave your device.
2. Cloud transcription (enabled with your authorization): when you use cloud meeting transcription, the audio file is uploaded by your client directly to a third-party object store (Alibaba Cloud OSS) through a secure pre-signed URL, then submitted to a third-party speech recognition service (Alibaba Cloud DashScope) for transcription. Your audio file does not pass through servers we operate; our server only handles small amounts of metadata (such as task status and result references) in the process.
3. Remote AI backends (optional): when you configure "bring your own API key" in Settings, your text is sent to the third-party model service you specify. In this mode, you establish a direct data-transfer relationship with that third party.
5. Third-Party Processors
We may use the following categories of third-party services; specific providers may change as the product evolves:
- Cloud storage and speech recognition: Alibaba Cloud OSS, Alibaba Cloud DashScope;
- Large language models: OpenAI, Anthropic Claude, and others (only when you configure the corresponding API);
- Payments: Apple (App Store), PayPal, WeChat Pay, Alipay;
- Crash and log collection: the upload address you configure.
We require service providers to process data only to the extent necessary to provide their services and to comply with applicable data-protection laws. We cannot control the data-processing practices of third parties to which you send data on your own initiative.
6. Payment Information
Payments occur on third-party platforms such as Apple, PayPal, WeChat Pay, and Alipay. We do not collect or store sensitive payment credentials such as card numbers or payment passwords; we only receive the payment result to confirm subscription entitlements.
7. Data Retention
1. Local data remains on your device until you delete it or uninstall the App.
2. Subscription entitlement records on our server are retained for the duration of your subscription to verify entitlements.
3. Metadata for cloud transcription tasks is automatically cleaned up after a period of time.
4. Identity keys created through free registration may be removed after 30 days of inactivity to prevent abuse.
5. Crash reports and logs are kept only for the minimum time needed for diagnostics.
8. Data Security
1. We use reasonable technical and organizational measures to protect your data, including transport encryption (HTTPS/WSS), atomic writes, and least-privilege access.
2. Our server does not receive any voice or text in local mode.
3. As noted above, crash reports and logs do not contain clipboard content, transcript text, API keys, subscription keys, or audio.
4. No method of internet transmission or storage is 100% secure; please also protect your device and subscription key.
9. Your Rights
To the extent permitted by applicable law, you have the right to:
1. access and view your local data;
2. correct or delete your local data (directly in the App, or by uninstalling it);
3. disable data-externalizing features such as cloud transcription and remote AI backends;
4. ask us to delete your entitlement records and related metadata on our server;
5. contact us with questions or complaints about data processing.
To exercise these rights, contact us using the details at the end of this Policy; we will respond within a reasonable period.
10. Children's Privacy
The Service is intended for adults and is not directed at children under 14 (or the lower age set by your jurisdiction). If we learn that we have collected a child's personal information without parental consent, we will delete it promptly.
11. International Transfers
When you use cloud transcription or configure overseas model services, your data may be transferred to the countries or regions where those providers are located (for example, Alibaba Cloud/DashScope servers are located in China; OpenAI/Anthropic servers are located in the United States and elsewhere). Such transfers are governed by the respective providers' terms and applicable law. Please assess this before enabling the relevant features.
12. Changes to This Policy
We may update this Policy from time to time. Updated Policy will be shown within the App and will apply from the stated effective date. Material changes will be highlighted to you prominently.
